People and roles
Invite someone to your account, choose what they may do, and change or remove them later.
Everyone who works on your Divvent account — a colleague, a bookkeeper, someone who only needs to look — is invited on the People page, under Account in the menu. Each person has one role, and that role holds in every application on the account.
Invite someone
Only an owner or an admin can invite someone. Everybody else sees the list of people, but not the form.
- Open People.
- Under Invite somebody, type their email in Their email.
- Choose a role in What they may do. The list starts on editor, and each role says what it can do beside its name.
- Press Send the invitation.
The confirmation appears beside the form, and the person appears in the table below with invited under their address. They get an email with a link that works for seven days.
If you are an admin, you can invite editors and viewers. Only an owner can invite another owner, an admin or a finance approver.
Send again, or withdraw
Each open invitation is a row in the table, with its own buttons:
- Send again sends a fresh link. The old link stops working, so if they had lost the first email, the new one is the only one that works.
- Withdraw cancels the invitation. The link stops working straight away.
When a link has run out, the row says The link expired. Send it again. Press Send again to give them a new one.
Roles
There are five roles. Choose the smallest one that lets the person do their job: you can change it later.
| Role | What they may do |
|---|---|
| Owner | Everything. Some things are an owner's alone: approving a change that removes data, connecting other services and holding their passwords, setting up your own domain, erasing a person's data, exporting an application or taking it off Divvent, putting a backup in place of the live data, handing an application to a new owner, and choosing which agencies work on the account. |
| Admin | Ask for changes and approve them, including bigger ones, but not a change that removes data. Release a version to your live application and to test copies. Take backups. Invite editors and viewers, and change or remove them. |
| Editor | Start an application, ask for changes, use the visual editors, approve the smaller changes (ones that only add, or keep everything working as it was), and release a version to a test copy. Not to the live application. |
| Finance approver | See everything, choose the plan and pay. Changes nothing in an application. |
| Viewer | See everything and change nothing. |
For what counts as a smaller or bigger change, see Read a change and approve it.
A few rules keep the account safe:
- Only an owner can make someone an owner, or make someone able to invite and remove people.
- An admin can't change or remove an owner, another admin or a finance approver. Their rows say Not yours to change.
- An account always keeps at least one owner. To step down as the only owner, make someone else an owner first.
Change someone's role
Owners, and admins for editors and viewers, see a role list on each person's row.
- Choose the new role from the list on their row.
- Press Change role.
It takes effect straight away, in every application on the account. If they made any tokens for the Divvent API, those shrink to the new role too.
Remove someone
- On their row, tick the box that says Yes, take … off this account.
- Press Remove.
They can no longer reach the account. You can't remove yourself if you are the only owner.
How each person signs in
Every person on the account signs in with a password and a second step: a passkey, or an authenticator app. The table shows how each person signs in in one word:
- passkey — they use a passkey on their phone or computer.
- authenticator app — they type a code from an app.
- recovery code — they signed in with one of their recovery codes and should add a new passkey.
- not set up — they have joined but not added a second step. They can sign in, but they can't change anything until they do.
Your own row has the full sentence about your sign-in. To change it, open Your sign-in in the header. See Signing in, passkeys and recovery codes.
Join from an invitation
If someone invited you, open the link in their email.
- The page shows Joining as and the address you were invited at. You can't change it: the invitation is for that address.
- Type Your name, then a Password of at least 12 characters, and the same in Password again.
- Press Join.
- You go straight to Your sign-in to add a passkey or an authenticator app. Nothing else opens until you have one.
If the page says This invitation is not valid, the link may have expired, been used already or been withdrawn. Ask whoever invited you to press Send again.
If it says there is already an account for that address, you already have a Divvent sign-in: sign in with it instead.
If you are in more than one company
Someone can belong to more than one company on Divvent — most often someone at an agency who works for several clients. When you do, a bar at the top of every page says Working in and the company's name. To move to another company, choose it in Switch to and press Switch.
Everything you do is done in the company you are working in, with the role you hold there. If you are there through an agency, the bar says so. See Working for clients as an agency.
People who reach your account through an agency also appear on People. The Agencies page says which agency they came through and what that agency may do.
